Job overview

An exciting opportunity has arisen within the Allergy and Clinical Immunology team for an Admin Assistant. We are seeking a proactive and organised individual to provide comprehensive support to the wider administration team.

Main duties of the job

The post holder will provide administration support to the Secretarial team and Patient Pathway Coordination within the Allergy and Clinical Immunology Service, to provide efficient and effective day to day running of the service.

The post holder will also provide support to other specialties within the wider cluster and the Medicine Division as and when required.

The post holder will be required to prove speed, whilst maintaining accuracy in detail, ensuring appropriate document layout and often proof reading content to ensure clear and profession dissemination of information.

The post holder will be required to work with the Patient Pathway Coordinator in contacting pre-identified patients to offer short notice cancellations for available appointments.

The post holder will be required to plan, book and schedule outpatient appointments, with the guidance and support of the Patient Pathway Coordinator to ensure both Trust and National Targets are met.

Education/Training/Qualifications

Essential criteria
  • Good educational standard of at least GCSE (or equivalent) in English
  • Good working knowledge of Microsoft packages
  • Good interpersonal skills, including telephone manner

Work Experience

Essential criteria
  • Demonstrable customer service experience
Desirable criteria
  • Previous clerical experience
  • Previous NHS experience
  • Letter processing skills

Knowledge/Skills/Abilities

Essential criteria
  • Excellent communication skills – the role demands good written and verbal English comprehension skills
  • Demonstrate working to tight deadlines / under pressure
  • Excellent organisational skills and attention to detail
  • Understanding of confidentiality and data protection
Desirable criteria
  • Knowledge of medical terminology
